3.) FFA Roster Instructions

National FFA has made numerous updates to their website that involve the membership area as well as all the profile management for advisors and members.  To safeguard everyone's personal information, they have made it so that the responsibility of being on the roster is falling more on the member.  It is National's philosophy that the member will set up a profile and request to be added to the chapter roster.  The advisor will approve them at the local level and submit the roster to the state, who will then approve it to National FFA.  Attached are instructions that should help you with the renewal and addition of new members.

Help instructions on the National website can be found by clicking on the wrench icon that is located in the upper right corner of some pages.

If your chapter uses AET, you can still complete the member information on AET (remember the free trial period for AET ends10/15/2017) and then submit it to National FFA for membership renewal.  Once you have submitted the members from AET to National FFA, the advisor needs to go to the manage roster area then choose pending memberships on the left side to submit those members to the state level.

Please remember that the deadline in Illinois to have your roster completed is November 1.  In addition to having the roster submitted to the state, you also need to have the membership form completed and the dues paid all by November 1.  Membership Forms link will take you to the location on the Illinois FFA website where the membership form for both dues chapters and new affiliated chapters can be found and downloaded. If you have any questions call Tammy Yard at 217-753-3328 Ext 106 or by email at

4.) AET - FAQ - What do students do if their school does not renew with AET?

If a program chooses not to use AET, their students can still access AET's degree application manager from the FFA's site and access their FFA awards. If they have record book data, that will flow into the award application, but to add new data, they would need to "unlock the award" from AET and add the data manually into the application.

The student can access their record book prior to October 15th deadline and I would advise printing the "Complete Record Book" so they have a copy of their actual data that represents that part of the award.

Any new records would then be entered into some other record book system or process they plan to use.

The teacher will always have access to AET and can see awards and do a few items. The only thing they cannot do is "impersonate" a student and access student records.  They can see all student FFA awards and review those.

5.) EZ Records Discontinuation

As of December 31, 2017, no new accounts can be added to EZ Records. Below is the language of the agreement that was reached between the University of Illinois and IAVAT.

1. University desires to discontinue sale and support of EZ RECORDS but wishes to continue current subscriptions to EZ RECORDS to allow students currently using records to complete projects associated with their degree programs. Support will be provided as staffing allows.

2. University shall renew subscriptions for existing accounts, but University and IAVAT understand and agree that no new accounts will be added effective immediately with no new accounts being available as of December 31, 2017.

3. Parties agree that University shall discontinue revenue sharing to IAVAT after June 30, 2017.

4. All other terms and conditions of the agreement will remain in full force and effect.
